Contract Quality Guarantee Record

A Contract Quality Guarantee Record is a systematic document or file established and kept by the seller or manufacturer during the performance of a foreign trade contract to prove that the products comply with the quality standards stipulated in the contract. Its core function is to provide a traceable chain of evidence and clarify liability when quality disputes arise. Use cases include: transactions with strict quality requirements such as bulk commodities, machinery and equipment, and electronic products; under letters of credit or documentary collections, banks may require this record as one of the documents for negotiation; customers or third-party inspectors often need to review it during factory audits or inspections. Precautions: the record should include inspection date, batch number, inspection items, measured values, standard values, inspector's signature and conclusion, and preferably correspond one-to-one with the quality and inspection clauses in the contract; the record must remain original and must not be altered; if the contract stipulates that buyer inspection or third-party inspection prevails, the record should be issued by the corresponding party. Differences from other terms: a Quality Guarantee is usually a single-page commitment document, while a quality guarantee record is a process-based, batch-based file; an Inspection Certificate is mostly issued by a third party, while a quality guarantee record may be issued internally by the seller, but must be recognized by the contract.
