Sample Order

A Sample Order refers to a small-quantity order placed by the buyer with the seller to obtain product samples. Typically, the quantity is very small (1-5 pieces), and the samples may even be free, though sample fees or shipping costs may be charged. Usage scenarios include: new customer development, trade show follow-up, product testing, confirming quality standards, etc. Points to note: 1) Clarify whether the sample fee is refundable (e.g., refundable if a subsequent formal order reaches a certain amount); 2) Who bears the shipping cost (usually the buyer pays the freight); 3) Sample lead time is usually shorter than bulk production; 4) Must state 'Samples are for reference only; bulk quality shall be subject to the confirmed sample.' Difference from a 'formal order': A sample order does not involve bulk production, the amount is small, and it is often used as a negotiation tool. Difference from a 'trial order': A trial order has a larger quantity and is used to test market response, whereas a sample order is only used to confirm product details. In foreign trade, sample order management must be standardized to prevent customers from obtaining free samples by deception.
