Exchange Request

Exchange Request refers to a formal written request made by the buyer to the seller in foreign trade transactions after receiving the goods, due to quality issues, specification mismatch, damage, or wrong shipment, requesting replacement with equivalent or substitute products. It commonly occurs in the after-sales stage under payment methods such as L/C, T/T, or documentary collection. Usage scenarios include: discrepancies found during arrival inspection, customer complaints, or negotiating exchanges when return shipping costs are too high. Precautions: must be submitted within the claim period specified in the contract, with inspection reports, photos, and other evidence attached; clarify which party bears the freight, insurance, and tariffs for the exchange; exchanges may involve re-customs declaration, return of original goods, or local disposal, requiring coordination with freight forwarders and customs. The difference from a 'Return Request' is that the purpose of an exchange is to obtain qualified replacements rather than a refund; the difference from a 'Claim' is that a claim may demand monetary compensation, while an exchange focuses on physical replacement. Foreign trade practitioners should carefully review the exchange clauses in the contract to avoid additional costs or legal disputes due to improper handling.
