Return Order

A Return Order is a written document in foreign trade through which the buyer formally requests the seller to return goods due to reasons such as quality issues, specification mismatch, damage, or wrong shipment. It typically includes information such as the original order number, reason for return, return quantity, return amount, return date, and handling method (refund, replacement, or repair). It is commonly used when importers find problems after receiving goods, or when exporters voluntarily recall defective products. Notes: The Return Order must be linked to documents such as the original invoice, packing list, and quality inspection report, and must clearly define responsibility allocation and cost bearing under trade terms (such as FOB, CIF); if cross-border returns are involved, customs duties, VAT, and customs declaration procedures must also be considered. Unlike a Replacement Order, a Return Order emphasizes the return of goods rather than replacement; unlike a Credit Note, a Return Order focuses on the physical return of goods, while a Credit Note is used only for financial adjustments. Proper use of a Return Order helps standardize after-sales procedures and reduce dispute risks.
