Work Order

A Work Order is a common business document in foreign trade and after-sales service, used to record formal instructions for services such as repair, maintenance, or parts replacement for a customer's equipment or products. It is usually initiated by the buyer or end user and generated after confirmation by the seller or service provider. It covers fault description, product model, serial number, repair requirements, estimated cost, service period, etc. Use cases include: after-sales repair of exported equipment, in-warranty/out-of-warranty service, return for repair, overseas on-site service, etc. Note: A Work Order is not equivalent to a Purchase Order or Proforma Invoice; it only authorizes service execution and does not directly serve as a basis for payment or shipment. For cross-border repairs, it is necessary to clarify liability, freight responsibility, tariffs, and customs clearance documents (e.g., temporary import/export declaration). Difference from RMA (Return Merchandise Authorization): RMA focuses on the return process, while a Work Order emphasizes specific repair work instructions. Difference from a Service Report: the latter is a result report after repair is completed. Foreign trade practitioners should ensure the accuracy of Work Order information to avoid repair delays or cost disputes caused by vague descriptions.
