Customer Profile / Customer File

Customer Profile (also Customer File) is a core tool in foreign trade operations for systematically recording and managing customer information. It covers basic customer details (company name, address, contact information), transaction history (order records, payment methods, credit status), communication records (emails, meeting minutes), preferences and requirements (product specifications, packaging requirements, delivery habits), and risk ratings. Use cases include: creating a profile when developing new customers, updating information when maintaining existing customers, quickly retrieving background during order processing, and analyzing historical data for credit assessment. Precautions: ensure information accuracy and timely updates; pay attention to data privacy and compliance (e.g., GDPR); distinguish customer profiles from transaction documents such as sales contracts and proforma invoices—the former is a dynamic management tool, while the latter are static legal documents. Unlike Customer Relationship Management (CRM), a customer profile focuses more on the collection of static and dynamic information for an individual customer, whereas CRM is an overall system covering marketing, sales, and service.
